This article explains how to create a task in Wórkiro, assign it to a team member or client, attach documents, and complete the task from the assignee's perspective.

 

Creating a Task

  1. Open the relevant connection in Wórkiro.
  2. Use the multi-select option to choose the files you want to include in the task.
  3. Click Add to new thread.
  4. Confirm the thread type is set to Task. You can switch this to Signature or Note if needed, or apply a template at this stage.
  5. Enter a short, clear title describing what the assignee needs to do.
  6. Add participants and set the relevant person as the assignee.
  7. Add guidance text explaining what is required and any specific instructions.
  8. Review the attached documents. The files selected earlier will already be attached. Add additional documents if needed.
  9. Set a deadline for the task.
  10. Relate the task to the relevant connection, company, and assignee so it appears in all relevant places.
  11. Add tags if required to help locate the task later.
  12. Review the team access settings. By default, other team members typically have view-only access. Adjust this if needed.
  13. Click Create to finalise the task.

Once created, confirm the assignee, due date, Relates To information, and attached documents are all correct.

 

Actioning a Task as the Assignee

The assignee will see the task appear in two places:

  • Catch Up: shows all tasks, signatures, and notes in real time, with a prompt when an action is required.
  • Assigned to Me: lists all tasks currently assigned to that user.

The task will also appear on the relevant connection record for any related contacts or companies.

To action the task, the assignee should:

  1. Click the task to open it.
  2. Read the guidance and carry out the required work.
  3. Add chat messages to collaborate or ask questions if needed.
  4. Mark the task as complete when finished. An outcome can optionally be recorded.

Once completed, the task is removed from the connection's active overview. Closed tasks can be retrieved by going to Threads and filtering for Closed Threads.

 

Confirming Completion

The originator can confirm completion by checking their Catch Up area, where an update will appear showing that the assignee has completed the task.
