This article explains how to send documents for signature using Wórkiro signature threads, how recipients sign them, and how signed documents are automatically filed on completion.

 

Creating a Signature Thread

  1. Select the files you need the customer to sign using the multi-select option.
  2. Add the selected documents to a new thread.
  3. Change the thread type to Signature.
  4. Enter a short, clear title so the recipient understands what is required.
  5. Add the participant. Wórkiro will suggest the most likely signer based on the connection, but additional signers can be added if needed.
  6. Add guidance text explaining what the recipient needs to do.
  7. Confirm the documents are attached.

 

Configuring Signing Options

Wórkiro offers two signing options:

  • Quick eSign: the recipient acknowledges they are digitally signing. Suitable for approvals and read confirmations.
  • Advanced signature: supports signature fields, printed name fields, and date fields. Fields can be moved, resized, or deleted, and assigned to specific participants if there are multiple signers.

Configure each attached document with the appropriate signing option before sending.

 

Sending the Signature Request

Once signing options are configured, optionally set a due date, add any additional comments, and relate the thread to the relevant records. Click Create to send the signature request. The thread will appear in the recipient's connection overview awaiting action.

 

Signing from the Recipient's Perspective

The recipient will receive a branded email requesting their signature. To sign the documents, the recipient should:

  1. Click View Details in the email to open a secure Wórkiro session called Private Thread View.
  2. Accept the terms and conditions on first use.
  3. Review the guidance and attached documents.
  4. Click Read and Sign to begin. Wórkiro will prompt the recipient through each document in turn.
  5. For Quick eSign documents, confirm acknowledgement to complete.
  6. For Advanced signature documents, complete all required fields. Signatures can be drawn, uploaded as an image, or entered as typed text.
  7. Click Finish once all required actions are complete. This returns the signed documents to the originator automatically.

The recipient can use the built-in chat at any point to communicate with the originator. Once finished, they can simply close Wórkiro.

 

Reviewing Completed Signatures as the Originator

A catch-up notification will appear confirming the recipient has completed the signature request. The signed documents are automatically filed back against the relevant connection, replacing the originals. No manual filing is required. Once satisfied, mark the thread as complete.
