Overview
Workiro's PDF splitting feature allows you to extract specific pages from large PDF documents and save them as separate files. This is particularly useful when you need to break down lengthy documents into smaller, more manageable pieces that can be filed to different cases or connections.
Prerequisites
To use the PDF splitting feature effectively, you should have:
- Workiro desktop app installed: This provides access to the hot folder feature, which streamlines the process of saving split documents back into Workiro. You can install it here: Download Workiro Desktop App
Step-by-step instructions
- Open the document: Navigate to the PDF you want to split in Workiro and double-click to open it in another window.
-
Select the pages: Click on the Page & Pencil icon in the ribbon:
Then select the pages you want to extract. You can select individual pages or a range.
- Extract the pages: Click on "Extract pages" - this will create a new document containing only the pages you selected.
-
Save the extracted document:
- If you have the desktop app with hot folder: Save the extracted pages to the hot folder, where you can then choose where to file them in Workiro.
- Without hot folder: You'll need to save to your computer and drag and drop back into Workiro.
-
Handle the original document: After extraction, you have two options:
- Keep the original document unchanged
- Delete the extracted pages from the original document, leaving you with the remaining pages.
- File the split document: Add the extracted document to the appropriate workspace unit or connection, and add any necessary tags.
Use cases and benefits
Common scenarios
Processing bank statements: When you have a 200-page bank statement document and need to split it into two-page segments for different cases or clients. As one user described: "I'd have this 200 page document. I could just take the first two pages off, which would give me a two page document and a 198-page document..."
Document organization: Breaking down large contracts, reports, or compilations into individual sections that need to be filed to different cases or reviewed separately.
Tips and best practices
Use the hot folder feature
Install the Workiro desktop app to access the hot folder functionality. This eliminates the need to save files to your computer and drag them back into Workiro, making the splitting process much more efficient
Delete pages as you go
When working through a large document, consider deleting the extracted pages from the original document after each split. This keeps your remaining document size accurate and helps you track your progress through the document
Maintain the original
Keep the progressively smaller original document until you've finished splitting all the sections you need. This way, you always have a working copy to continue processing
Important considerations
- The hot folder feature significantly improves efficiency for users who regularly split PDFs
